1. Introduction

Welcome to "Transcription: AI VoiceToText" (hereinafter "the App"). We take your privacy seriously. This policy explains how we collect, use, and protect your information, specifically regarding the use of your device's microphone.

By using the App, you agree to the practices described in this policy.

2. Data Collection

2.1 Audio Recordings (Microphone)

The App requests permission to access your device's microphone (RECORD_AUDIO).

• Purpose: This permission is strictly necessary to enable the App's core functionality: recording your voice or a meeting to transform it into text (transcription).
• Processing: Audio data is captured in real-time and securely transmitted (encrypted) to our Artificial Intelligence partners solely for transcription purposes.
• Retention: We do not permanently store your raw audio files on our servers. Once the transcription is generated, the audio file is either deleted or stored locally on your device, depending on your settings.

2.2 Text Data (Transcripts & Reports)

Generated texts (meeting notes, summaries, reports) are stored:

• Locally on your device.
• On secure servers (via Supabase) only if you choose to save your notes to the cloud via authentication.

2.3 AI Training (Zero Training Policy)

Unlike public AI models, your data is NEVER used to train our artificial intelligence models. We strictly configure our partners' services (Deepgram, Google) with training options explicitly disabled. Your meetings are processed solely to generate your documents and nothing else.

2.4 Google API Services User Data Policy

To facilitate account creation and login, the App uses Google Single Sign-On (SSO). To comply with the Google API Services User Data Policy, here is how we handle your Google data:

• Data Accessed: When you use Google SSO, we strictly access only your email address, full name, and public profile picture. We do not request or gain access to any other Google services (such as Drive, Gmail, or Contacts).
• Data Usage: This information is used exclusively to create and secure your account, personalize your user interface within the App, and send you essential transactional communications related to your account.
• Storage & Sharing: Your Google identification data is stored securely in our database. We do not sell, rent, or share your Google data with third parties.
• AI/ML Training: Your authentication data obtained from Google APIs (name, email, profile picture) is not used to train our Artificial Intelligence models or those of our partners.

3. Data Sharing

We do not sell or rent your personal data to third parties.
To provide the service, we work with the following trusted providers, rigorously selected for their GDPR compliance:

• Deepgram (USA): Transcription provider (Nova-3 Model). Strict Zero Data Retention policy: your audio files are processed in-memory and are not stored after transcription.
• Google Gemini (USA/EU): AI provider for summaries. "Enterprise" contract guaranteeing your data is not used for model training.
• Supabase (USA/EU): Secure database hosting and authentication.
• Brevo (France): Transactional email sending (meeting reports).

4. Data Security

We implement industry-standard security measures to protect your data:

• All communications between the App and our servers (or third-party APIs) are encrypted via HTTPS/SSL protocols.
• Data access is restricted to automated processes necessary for the service operation.

5. Your Rights (GDPR & CCPA)

In accordance with applicable laws, you have the following rights regarding your data:

• Right to Access & Rectify: You can view and edit your transcripts directly within the App.
• Right to Erasure: You can delete your notes and transcripts at any time via the App interface. This deletion is permanent.
• Right to Withdraw Consent: You can revoke microphone access at any time in your Android device settings.

6. Children

The App does not knowingly target or collect information from children under the age of 13. If we discover that we have collected data from a child without parental consent, we will take steps to delete it.

7. Legal Compliance

Recording Consent: The use of the App to record conversations is subject to local laws. You acknowledge that you must be aware of and comply with regulations regarding consent from all participants before recording.

9. Account Deletion

You can request the complete deletion of your account and all associated data at any time. Deletion is performed manually by our team upon receipt of your request.

Procedure:

• In the App, go to Settings > Account > Delete Account.
• This will automatically open your email client with a pre-filled request.
• Send this email to confirm your request.

If you no longer have access to the app: Simply send an email to [email protected] with the subject "Account Deletion".

Processing Time: Your account and all your data will be permanently deleted within 30 days of receiving the request.

Data Retention: No personal data is retained after deletion.
